9. Data Submitted to myPay Solutions
This section is designed to answer your questions about the information myPay
Solutions has obtained through our Web Services products, electronically filed
returns, data sent to Technical Support, data sent for conversions, and data sent for
myPay Solutions service.
We recognize the sensitive nature of personal and business financial information
and take every precaution to protect your privacy. Also, we recognize your
responsibility to safeguard the privacy of your clients' data. When you entrust us
with information, you can be certain it will be used only within our strict
guidelines.

systems. All data is maintained and backed up on a regular schedule.
We want you to know that we use information responsibly to provide you with the
services you've requested. Under no circumstance do we provide account or personal
information to unrelated third parties for the purpose of independent telemarketing

Your Customer's Data
- All customer data is treated as strictly confidential.
- Access to your customer's information is limited to those employees with a
business reason for using such information.
- We continually educate our employees on the confidential nature of this
information, your need for privacy, as well as incorporating policies and
procedures for this purpose. We will never disclose your customer information to
third parties without your permission.
- We destroy all hard copies of data before disposing of it.
- In order to continue to provide high-quality software, we periodically
utilize live data for follow-up testing. When the need for this testing is
completed we destroy and dispose of the data.
Outside Service Providers
At times, we enter into arrangements with companies whose expertise is essential
for our own services to function properly. For example, we work with specialized
firms that manage services with which our products integrate. In any outside company
situation, we share the information we obtain about you (as described previously)
only to the extent necessary to allow these companies to perform services for us, or
to provide you with products or services.
We are extremely selective when choosing outside companies to become our partners.
So we require them to conform to our own strict confidentiality and privacy
standards. An outside company is never allowed to sell your information, or to use it
for any purpose other than providing the specific product or service we intended the
company to provide.
Protecting Your Information
To protect customer information, we maintain extensive physical, electronic, and
procedural safeguards. For example:
- We have a solid foundation of security policies that define acceptable use of
our information systems and data hosted on those systems. These high-level
security policies are implemented, supported and enforced by more detail level
policies, standards and guidelines covering specific functional areas and
technologies.
- We educate our employees about the importance of confidentiality and privacy,
and we train them in related policies and procedures. All employees and
consultants sign non-disclosure agreements to protect your data and your clients'
data. We also take appropriate disciplinary measures whenever necessary to
enforce these rules.
- Upon hire our employees all agree to confidentiality statements in both our
offer letter and in the Thomson Reuters Code of Business Conduct and Ethics.
- When you submit data to us over the Internet, encryption helps protect it
from interception by a third party.
- User identification and authentication helps ensure that authorized users
only access the information you provide us.
- Our Thomson Reuters Data Center is QS 9000 and IBM-certified.
- 24/7/365 internal security monitoring with camera surveillance is at all
entry points.

up-to-date safeguards possible to keep your personal financial information
confidential and secure. Your trust is important to us—and we're committed to
protecting your data.
